UniApplyForMe Bursaries

Features

Everything your bursary programme needs, in one place

From the first application to the final payment and the audit, built with South African funders and learners in mind.

Applications and forms

Build the application form your bursary needs, without code, and receive applications that arrive complete.

  • Questions of every kind: text, numbers, dates, choices, yes or no, documents and marks
  • Profile values filled in from the learner's UniApplyForMe profile, so learners do not type the same details twice
  • Show a question only when an earlier answer calls for it
  • Eligibility rules (citizenship, province, grade, APS, subject marks, field of study and household income) checked as learners apply
  • A live phone preview, drafts and versions, and publishing when you are ready
  • Learners save as they go and finish later, and consent before you see their application
The form builder: question types on the left, the form's sections and questions in the middle and the settings of the selected question on the right.

Review and shortlisting

See every application in one list, decide as a team and keep a record of every decision.

  • Filter by bursary, status and eligibility, and search by name or email
  • Each application with its answers, documents, eligibility result and timeline
  • Statuses from submitted to under review, shortlisted, interview, awarded or declined, with learners told by email
  • Internal notes only your organisation sees
  • CSV export for your selection committee
  • A daily summary email with new applications and anything overdue
An application: the learner's answers, eligibility, the timeline and internal notes.

Awards and e-signed agreements

Turn a decision into an award and a signed agreement, without paper or couriers.

  • Offers with coverage per year (tuition, accommodation, books, stipend and more) and conditions such as a minimum average
  • Learners accept or decline in the app, with a deadline
  • Agreements signed electronically by the learner, a parent or guardian for learners under 18, and your signatories
  • Consent and a one time code for every signature, and a signing certificate in the signed PDF
  • A public verification page that checks a signed agreement has not changed
  • Paper agreements can be recorded too
An award: the signed agreement with each signature and date, the award overview and the budget for each year.

Academic tracking and renewals

Follow each learner's progress and renew on evidence, not guesswork.

  • Request registration proof, results and progress reports, once or on a schedule, with reminders
  • Learners upload from the app; you accept or ask again with a reason
  • Results captured and verified against the award's conditions
  • Awards at risk flagged early, with the reasons
  • An end of year decision for every award: renewed, not renewed or completed
  • Mentorship and check in notes kept with the award
The academic tab of an award: a verified semester result that meets the conditions, and the end of year renewal decision.

Invoices and payment records

Record every invoice and payment against each award's budget. Your money never moves through us: you pay from your own bank.

  • Payees (institutions, residences, suppliers and learners) with banking details encrypted and changes approved
  • Invoices with VAT split per line, and payments with proof, bank reference and date
  • Budget, committed, paid and remaining per award, year and category, with a warning or a block before overspending
  • Approvals always by someone other than the person who captured the item
  • Reversals with a reason and refund evidence
  • A payment run export for your bank, and learners see the payments made for them
The finance inbox: invoices and a payment waiting for approval, each captured by someone else.

Reports and audit packs

Know where your programme stands, and hand your auditors everything in one go.

  • Spend by year, category, institution and bursary; awards, renewals, results and the funnel
  • Every chart as a table and a CSV
  • Awards register, spend, academic and skills development (B-BBEE style) exports
  • Audit packs: invoices, payments, approvals, agreements and proofs with a SHA-256 manifest
  • A bursary statement for each learner, as a PDF
  • Every export recorded with its filters
Reports: budget, committed, paid and remaining, with spend by academic year, category, institution and bursary.

Team roles and security

Give each person exactly the access their job needs.

  • Admin, reviewer, viewer, finance and finance approver roles
  • Signing authority for the people who sign agreements
  • Two step verification for every account
  • Invitations that expire, and access removed in one click
  • A full audit trail of who did what and when
The staff page: team members with their roles (admin, finance approver, finance, reviewer and viewer) and who can sign agreements.

Trust

Learners' information, handled with care

Built for POPIA from the start, by an organisation registered with the Information Regulator (2026 067987).

Security and POPIA
  • POPIA by design

Learners consent before a funder sees their application, and personal information is removed when the retention period ends.

  • Two step verification

Every funder account signs in with a password and an authenticator app code.

  • Encrypted banking details

Bank details are encrypted, and only the last four digits are shown in the portal.

  • Separation of duties

Whoever captures an invoice or payment can never approve it, enforced in the database.

  • Audit trail

Every change, approval, download and export is recorded with who did it and when.
